Company profile examples and template for Malaysian companies
A good company profile example for a Malaysian company follows seven sections: about us, company background, vision and mission, products or services, clients and projects, certifications, and contact. The seven sections every company profile needs
Most company profile examples you will find online, from Malaysian contractors to manufacturers and consultancies, follow the same order. Use it as your template. A reader looking for one fact, such as your CIDB grade or a past client, then knows where to turn.
| Section | What it answers | Typical length |
|---|---|---|
| 1. About us | Who you are, in one paragraph | Half a page |
| 2. Company background | When and how you started, who runs the company | 1 page |
| 3. Vision and mission | Where you are going and how | Half a page |
| 4. Products or services | What you sell and to whom | 2 to 6 pages |
| 5. Clients and projects | Proof you have done it before | 2 to 8 pages |
| 6. Certifications and registrations | Proof you are qualified and compliant | 1 page |
| 7. Contact | How to reach the right person | Back cover |
1. About us
One paragraph that a busy reader can quote. Say what the company does, for whom, and where. For example: “ABC Engineering Sdn Bhd designs and installs industrial ventilation systems for factories in the Klang Valley and Penang.” Avoid lines that fit any company, such as “we are committed to excellence”. If a sentence could appear in a competitor’s profile unchanged, cut it.
2. Company background
This is the section people search for as “company background”. It should state facts in order:
- Year founded and SSM registration number
- Founders or current directors, with one line on their experience
- Two or three milestones: a new factory, a major contract, a new market
- Number of staff and locations, if they help your case
Keep it to 100 to 200 words. A background that runs for two pages usually repeats the services section.
3. Vision and mission
The vision says where the company wants to be. The mission says what it does every day to get there. One sentence each is enough. Add core values only if you can show them in practice, for example a safety record or a quality certification. A page of abstract values says little to a buyer.
4. Products or services
Group what you sell into three to six clear categories. For each, give a plain description, who it is for and one photo of the real product or completed work. Stock photos weaken this section because buyers have seen them elsewhere. If you sell many products, put the full range in a separate catalogue and keep the profile to the main lines. See our brochure design cost guide for how catalogues are priced.
5. Clients and projects
This is the section evaluators read most closely. Show only clients and projects you are allowed to name. For each project, list:
- Client name and location
- Scope of your work
- Year completed
- Contract value, if you may disclose it
- One or two photos
A client logo wall is quick to scan, but a project list with scope and year is stronger evidence. Never list a client you have not worked for.
6. Certifications and registrations
List each registration with its number and expiry date: SSM, MOF, CIDB grade and category, ISO certificates, halal certification and industry licences. Show the certificate images where they are legible. Update this page whenever something renews, because an expired licence in your profile undermines everything else in it. If you are preparing for government work, read our guide to company profiles for tenders.
7. Contact
Give the company address, one main phone number, email, website and the name of the person who handles enquiries. Add a QR code to your website or WhatsApp if the profile will be printed.
Optional sections
Add these only when they apply to your business:
- Organisation chart and key personnel. Expected by tender evaluators and larger buyers.
- Facilities and equipment. Useful for manufacturers and contractors.
- Quality, safety and environment policies. Often requested in vendor registration.
- Corporate social responsibility. Only with real activities you can show.
Page count comparison
Page count follows content. The table shows how pages are typically split at three common lengths.
| Section | 8 pages | 12 pages | 20 pages |
|---|---|---|---|
| Cover and contents | 1 | 1 | 2 |
| About us and background | 1 | 2 | 2 |
| Vision and mission | Shared with background | 1 | 1 |
| Products or services | 2 | 3 | 5 |
| Clients and projects | 2 | 3 | 6 |
| Certifications | 1 | 1 | 2 |
| Organisation chart, facilities | None | None | 1 |
| Contact (back cover) | 1 | 1 | 1 |
| Suits | Small service business | Established SME | Contractor or manufacturer |
Print profiles are usually laid out in multiples of four pages for binding, so confirm the final count with your printer.
Print and PDF versions
Most companies need two files. The print file needs bleed and high-resolution images. The PDF for email and tender portals needs a small file size so it uploads and opens quickly. Ask for both, and for an editable source file so you can update projects and certificates each year. For costs, read our company profile design cost guide.
Getting help
If you have the content, a designer can lay it out. If you do not, choose a package with copywriting, where the designer interviews you and writes each section. O2O Creative designs company profiles for manufacturing and corporate clients from our Petaling Jaya and Penang studios. See our company profile design service or send your brief through the quote form.
Questions clients ask before they hire us
What should a company profile contain?
At minimum: who you are, how the company started, your vision and mission, what you sell, who you have worked for, the registrations and certifications you hold, and how to contact you. Contractors and suppliers to government should also show their SSM, MOF or CIDB registration details.
How do I write a company background?
State the year you started, the SSM registration number, who founded or now runs the company, and the two or three milestones that explain where you are today. Keep it to 100 to 200 words and leave the sales pitch for the services section.
Can I use a free company profile template?
Yes, a template is fine for structure. The risk is that competitors use the same layout, and a template does not fix thin content. Use the section order below as your template, then write each section for your own business.
How many pages should a company profile have?
Most run 8 to 20 pages. A small service business can cover everything in 8 to 12 pages. A contractor or manufacturer with many projects, certifications and facilities usually needs 16 to 20 pages or more.
Should the company profile be in English or Bahasa Malaysia?
Write it in the language your buyers read. Government and GLC buyers often expect Bahasa Malaysia, private and export buyers usually expect English. Many companies keep both versions in the same layout, which adds typesetting and proofreading time.
